About the Position

Office Management:

  • Reception, Telephony, Courier and Postal Services
  • Storing (archiving) of documents (off site)
  • Stationary Services
  • Managing of access and canteen system-
  • Negotiating, appointing and managing Service Providers/Contracts incl. Catering

Building Management:

  • Office Equipment/Furniture
  • Ensuring that the environment in which staff operate is safe, comfortable and conducive to accommodate the delivery of high productivity, the optimal utilization of the office space in the most cost effective manner
  • Executing, managing of all tasks related to the setting up or closing down of offices (excluding staff related and IT issues)
  • Managing of Consumables/Equipment
  • Managing all aspects (including utilities) of the building to ensure a safe building
  • Negotiating, appointing and managing Service Providers/Contracts incl. Cleaning and Security

Building Projects:

  • Coordinate Ad Hoc Building Projects
  • Manage continuous upgrading of office environment

Managing Staff and the Budget:

  • Managing of Office Management staff
  • Managing the Corporate Facilities & Building Management Budgets

Minimum Requirements:

  • Grade 12
  • Diploma in Office Management is advantageous, unless qualified by extensive experience
  • At least 7 - 10 years' experience as an Office Manager in an Asset Management environment or in the general Financial Services environment
  • Computer literate in MS Office
  • Strong administrative and organizational skills
